Corporate Payroll Services Privacy Notice

This Privacy Policy Notice discloses the privacy practices for Corporate Payroll Services, our subsidiaries and affiliates regarding all information collected by us or submitted to us via our web site (www.corpay.com), including all sites controlled and maintained by us, and other means.  This policy will notify you of the following:

We are committed to protecting your privacy and the privacy of information you provide us.  We do not share your personal information with any third parties for their own marketing purposes but only for purposes of providing services to you.  If we provide you with links to other web sites, we encourage you to read the privacy policy of every web site you encounter. 

 

What Information We Collect

We collect several different types of information for various purposes to provide and improve our services to you.  The following is a list of some of the personal information we collect:

  • Employer information, including federal identification number, state tax identification number(s), address and company bank account information
  • Personal and/or professional contact information, including email address and owner’s or principal officer’s Social Security number
  • Employee information, including address, compensation, Social Security number, date of birth, bank account information, beneficiary information and retirement information
  • Employee benefit information
  • Dependent information
  • Geographic location

We may also collect information your browser sends whenever you visit our web site or use our mobile applications to access your account or to get basic information.  This usage data may include information such as your computer’s IP address, browser type, browser version, the pages of the web site you visit, the time and date of your visit, the time spent on those pages, your mobile cell phone number, other unique device identifiers and other diagnostic data.

We use “cookies” on our web site and similar tracking technologies to track your activity on our web site and hold certain information.  A cookie is a piece of data stored on your device to help us improve your access to our site and identify repeat visitors to our site.  Cookies are sent to your browser from a web site and stored on your device.  

You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent.  However, if you do not accept cookies, you may not be able to use some or all portions of our web site.

 

With Whom Your Data Is Shared

We only have access to and collect information which you or your employer physically give us, enter on our web site and mobile applications, send us via email or otherwise transmit to us.  We will use your information to respond to you and to provide services to you.  We share your information with third parties outside of our organization to help us provide services to you or to fulfill specific requests, e.g., to ship your employer’s payroll package or obtain your employer’s bank credit history.

We also partner with other third party service providers to provide specific services at your request or at the request received by your employer.  When the user signs up for these services, we will share names, or other contact information, which is necessary for the third party to provide these services to you.  These third parties are not allowed to use personally identifiable information except for the purpose of providing these services, e.g., direct deposits to your bank account, retirement services, prepaid debit cards, etc.  We are not responsible for the privacy practices of such other sites and encourage you to read their privacy statements.

 

How Your Data Is Secured

We take precautions to protect your information.  Your information is protected both online and offline when you submit sensitive information via our web site and/or mobile application.  Wherever we collect sensitive information (such as Social Security number), this information is encrypted and transmitted to us in a secure way.  You can verify this by looking for “https” at the beginning of the address of the web page.

While we use encryption to protect sensitive information transmitted online, we also protect your information offline.  Only employees who need the information to perform a specific job (e.g. customer service) are granted access to personally identifiable information.  The computers on which we store personally identifiable information are kept in a secure environment.  Sensitive information is encrypted before it is transmitted to or from the third-party cloud-based storage service we have implemented for our services. 

 

Your Rights and Do Not Track Signals

You have the right to review and request changes to your personal information which was collected through the web site and mobile application.  You also have the right to submit a request to delete your personal information, subject to local laws.  If you are an employee of our customer, please note we may require approval from your employer before we can determine if your request can be honored. 

Do Not Track (DNT) is an optional browser setting which allows you to change your preferences regarding how to track your online activities and/or locations.  At this time, we honor DNT signal requests received from your browser for publicly available parts of our web site.  The parts of our web site which are only available to customers and their employees, including our payroll browser applications, may ignore DNT settings to allow us to provide payroll services.

 

Children’s Online Privacy Protection Act

We do not knowingly offer services directed to children or minors.  We do not knowingly collect personal information for children under the age of 13 and do not wish to receive such information except when required by law as part of providing payroll services or when getting dependent information for health insurance and/or retirement beneficiary purposes.  Visit the FTC web site to learn more about the Children’s Online Privacy Protection Act (COPPA).

 

How Policy Changes Will Be Communicated

Our policy notice will be posted on our web site at www.corpay.com/privacy.  We will notify you of any changes by posting the new policy on this page.  These changes are effective immediately after they are posted on this page.  We have the right to make changes to this policy at any time and advise you to regularly review this policy.  If you object to any changes, your employer may choose to discontinue using our payroll services or you, as an employee, may cease using the website.  Using the web site after we publish our changes means you are consenting to the updated policy.
